Office Manager

Part-time position available, flexible hours

Chattel Architecture, Planning & Preservation (Chattel Architecture) is a historic preservation consulting firm based in Sherman Oaks, CA. We provide services including historic resources evaluation, design review, project effects analysis, and consultation on historic preservation statutes and regulations to private and public sector clients. We are seeking an Office Manager who will be responsible for bookkeeping, payroll and general administrative tasks, as well as basic marketing and human resources. Strong proficiency in QuickBooks and Microsoft Office is required; the ideal candidate also possesses knowledge of historic preservation practices exceptional administrative experience, and ability to multi-task in a fast-paced environment.

Responsibilities:

• Prepare monthly client invoices, follow-up on non-payment, and record incoming checks

• Execute semi-monthly payroll

• Package project proposals, including assembly of marketing materials, such as firm biographies and project descriptions

• Update website content

• Perform general office maintenance including answering phones, filing, scanning, and maintaining company insurance certificates and programs

• Organize quarterly office field trips

• Respond to conference and event invitations

• Prepare job postings and manage job inquiries

Skills/Qualifications:

• Proficiency in QuickBooks and Microsoft Office required

• Minimum 3 years experience in office administration

• Ability to manipulate photographs and create page layouts

• Associate’s, Bachelor’s or higher degree desired

• Strong organizational and communication skills and ability to multi-task

• Experience in historic preservation and/or architecture a plus

Available immediately, this is a part-time position of 20-24 hours a week with flexible hours. Full-time employment will be considered for candidates possessing experience in both office administration and historic preservation (or related fields). Compensation will depend on experience.
