The Administrative Assistant/Events Manager shall report to and take direction from the Executive Director. This is a desk job (approximately 80% of time will be in the office) that requires excellent customer service and writing skills. Graphics abilities are a plus. The selected candidate will need to coordinate with and direct interns in the completion of some of the events-related duties.
Specific responsibilities include (but are not limited to):
Administrative Tasks:
- Answer phone and monitor emails
- Procure office supplies
- Run errands (bank, post office)
- Maintain and update membership database
- Serve as office liaison to IT consultants
- Pay bills, make bank deposits, send invoices
- Update monthly calendar
- Update and maintain wordpress website
- Generate content for and produce weekly emails to membership (using constant contact) and monthly digital newsletter
- Coordinate with maintenance personnel for upkeep of Preservation Durham owned properties
- Aid in production of Annual Report
Events Management Tasks:
- Annual events include: Tax Credit Workshops (3), Lunch and Learn Events (5), Historic Happy Hours (5), Spring Fling, Hidden Durham Tours (4), Home Tours (2), Fall Fundraiser, Trivia Nights(2)
- Event set up/break down
- Procure event locations
- Coordinate production of graphic collateral: awards certificates, home tour brochures, posters, fliers, mailings
- Coordinate email and Facebook advertising of events
- Oversee billing and pick up of items purchased at annual silent auction (November)
- Event RSVPs
The anticipated salary is $28,500 and will include two weeks of paid vacation and a $200 allowance towards health insurance. The job is full-time (40 hours per week) with regular working hours 9am-5pm. Some weekend and evening hours will be expected, for which comp time will be offered instead of overtime.
