The executive assistant has a primary responsibility of supporting the office of the Civil War Trust (CWT) President. This position also assists other Trust departments as needs and time dictate.
Office of the Trust President:
· General Administrative Support: organize and update the Presidents calendar; make arrangements and detailed itineraries for all of the Presidents official travel; receive phone calls/mail/email and respond as knowledge permits; draft, proofread and finalize correspondence for the Presidents signature; record all meetings, phone calls, and other correspondences in our fundraising database, The Raisers Edge.
· Other: coordinate/draft/transcribe the Presidents correspondence to Trust Board members, government officials, major donors, and others; maintain contact with Board members and major donors; record and maintain official Board meeting and conference call minutes; assemble all materials for Board Meetings.
Other Administrative Duties:
· Provide general support for the DC Department Heads and staff as requested, including coordination of internal meetings and conference calls; general administrative support; research and follow-up on various matters; responses to employment inquiries; assistance with Development Department mailings to key members; help with other Trust communications, including the Trusts quarterly magazine, Hallowed Ground; and arrangement from time to time of travel for other staff members.
- Support DC office administration as required.
· Organize and maintain official Trust and Presidents office documents.
· Retain and update organizational Bylaws and the Trust Personnel Manual.
· Provide new DC office staff with orientation materials and payroll forms.
- Complete and submit to the COO/CFO purchase orders, Presidents expense reimbursement requests, and credit card forms.
· Maintain and account for the Trusts Petty Cash in the DC office.
· Other duties as assigned by the Trusts President as workloads require.
MINIMUM REQUIREMENTS
Education/Experience:
· A bachelor's degree or equivalent business experience required.
· Minimum of two years of relevant work experience as a top-level administrative assistant is required.
· Experience using contemporary office software including Outlook, Word, PowerPoint, and Excel, and ability to manipulate multi-constituent databases.
· Knowledge of The Raisers Edge is highly preferred.
