Historic Macon Foundation

Historic Macon Foundation (HMF), a 501©3 non-profit, is one of the nationís largest, most productive and most innovative local preservation organizations with over 550 member households in Middle Georgia and 6,000 listed historic buildings in our stewardship. Since our founding in 1964, Historic Macon Foundation has served as the regional historical society of note. Historic Macon boasts total assets of over $3 million, annual revenue of over $1.2 million, and access to over $2 million in revolving funds. Historic Macon saves Middle Georgiaís architectural treasures through comprehensive real estate intervention strategies, especially neighborhood revitalization. In addition, Historic Macon educates the public about the importance of Maconís history and architecture and runs events to help celebrate Maconís unique past. Our programs in economic development and neighborhood revitalization are national award winners and serve as a model for other preservation and revitalization organizations. The organization staffs by six full-time people (including this position) and one part time staff person, all of who are vibrant, dedicated, fun and hard working. The office atmosphere is fast-paced, multi-tasking, technology-oriented and highly collaborative. Employees are treated as professionals in their expertise and each staff person has the opportunity to lead and teach other team members and literally hundreds of volunteers who are interested in our mission.

The Historic Macon Foundation Business Manager oversees all aspects of office management including accounts receivable and payable, proper bookkeeping, account reconciliations and keeping timely, complete and accurate records regarding the finances of Historic Macon Foundation.The Business Manager also answers the phones and serves as the first point of contact for most donors and callers. The Business Manager assists the Executive Director in preparing monthly reports for Finance and Executive Committees and the Board of Trustees.In addition, the Business Manager assists with the planning and execution of fundraising events.This position reports to the Executive Director and works closely with staff, Board members and numerous committee members.

The successful employee will be self-motivated, well organized, attentive to detail, ethical and able to relate to diverse community members. Most importantly, the Business Manager will possess financial acumen, assisting the Executive Director in running an efficient and effective business.

Specific responsibilities include, but are not limited to:

-Answer and transfer phone calls, process-incoming mail and ensure the office is adequately supplied with general office materials

-Manage accounts payable including preparing bills for approval, paying bills, entering records onto Historic Macons accounting software and retaining adequate hard-copies according to the offices document retention policy

-Manage accounts receivable including deposits for Historic Macon Foundation and subsidiaries and any other receivables such as loan repayments and consulting contracts

-Prepare correct and timely monthly financial statements according to the budget as adopted and amended by the Board of Trustees

-Assist with the planning and execution of organizational fundraisers with staff and Event Committees for fundraisers such as Rose Hill Rambles, the annual Flea Market, Decorators Showhouse, Design Wine and Dine, and membership events.

-Serve as the organizations primary liaison to the yearly auditor, preparing schedules and assisting with reconciliations

-Manage the companys taxes including sales tax, property tax, W2s, W3s, W4s, 1099s, 1098s, 1096s and any other tax documents or procedures

-Assist in managing the organizations insurance policy and serve as the primary liaison to our insurers and brokers

-Manage payroll through a third party service provider

-The Business Manager must be occasionally available for meetings and events on nights and weekends, especially the Finance Meeting (such time will be exchanged for time during regular business hours)

-Other duties as assigned by the Executive Director

Job Qualifications:

A High School diploma or GED is required.A Bachelors degree in finance, economics, business, accounting or a related field is preferred. Non-profit experience preferred.Basic computer, media and web literacy is required.†† Basic accounting competency is required.Proficiency in QuickBooks accounting software, Excel, and fund accounting are required.

-†††††† Effectively manage insurance renewals and claims processes

-†††††† Complete accurate and timely monthly financial statements

-†††††† Help achieve an unqualified opinion on the annual audit
