POSITION DESCRIPTION

 

Administrative Assistant

Administrative Assistant works to preserve and protect buildings that have architectural, history, or civic value through Historic Albany Foundations (HAF) three major programs technical assistance, education, and advocacy.  This position is under the direction, and reports to, the Executive Director and works with all members of staff, especially the Development and Outreach Officer.

Oversees all aspects of the HAFs office management, and administrative needs.

Position:  Part time, 20 hours a week, $14.00 per hour, benefits.

Responsibilities include, but not limited to:

Office Management

     Responsible for overall office management which includes reception, scheduling, managing office supplies and merchandise.

     Maintains working relationships with vendors.

     Assist Executive Director and other staff in administrative duties.

     General upkeep of physical plant.

     Light bookkeeping including weekly deposits, accounts payable entry.

     Grants management assistance with Dev. & Outreach Officer and Director of Preservation Services in tracking grants in grants database.

Membership

     With the Dev. & Outreach Officer, maintain Membership & Donor database; send monthly membership renewal letters and donor thank you letters.

     Coordinates and completes all mailings for special events, appeals etc.

     Assists Dev. & Outreach Officer in email blasts and social media needs.

 

 

 

Programming

     Assists Director of Preservation Services, and other staff in coordination and attendance of tour series such as Walkabout Wednesdays, Pub Lectures, Members Only Tours and others.

 

     Assists Dev. & Outreach Officer, Development Committee and other committees in planning for all special events such as BUILT, A Moveable Feast, House & Garden Tour, Preservation Merit Awards , Holiday House Tour and others, as they arise.

     Attend events.

 

Other

     Availability to be part of team for evening meetings such as public hearings and neighborhood associations, for Warehouse operations, and for weekend events.
