Program Coordinator Part Time

Preserve the Burg (formerly St. Petersburg Preservation), a non-profit 501c3, seeks a part-time program & volunteer coordinator.

The mission of Preserve the Burg is to Educate, Celebrate and Advocate for what makes St. Pete special. Preserve the Burg hosts educational forums, social events, tours and Movies in the Park for embers and the public. Preserve the Burg relies on a vibrant volunteer network and depends on their involvement to help us succeed!

The Program Coordinator will be responsible for the following tasks:

Educational Forum - Lecture Series and Workshops:

  • Assisting Executive Director with site visit, selection and set up requirements

  • Confirmation of speakers, assist with their materials and presentation needs

  • Arranging logistical details of each program date, including: food and beverage, audio-visual, materials and set up/tear down.

  • Coordinating volunteers for each program; direct contact for all volunteer communication pre and post event

  • Assisting Executive Director with program marketing, including; designing

    announcement postcards, social media posts, website content, E-blasts, press releases, and community event calendars

  • Coordinating event registration, including; event content and registration set-up on SPP website, respond to guests requests, managing and creating registration lists, managing on-site registration, and management of money, memberships and sales reports

  • On-site management of events

  • Frequent communication with Executive Director pre and post events

    Events Porch Parties, Movies in the Park and Signature Events:

  • Porch Parties Working with host on following tasks: food and beverage, audio-visual, materials and set up; coordinating with musicians; on-site management of events

  • Movies in the Park Working with committee and Executive Director on site setup/tear down, oversee PTB tent, materials, merchandise, management of money,

    memberships and sales reports

  •  Signature Events Working with committee and Executive Director on planning, marketing, vendor and sponsor coordination, site set up/tear down, oversee PTB tent, management of money, memberships and sales reports

  • For all events - Coordinating volunteers; direct contact for all volunteer communication pre and post event

  • Assisting Executive Director with registration, including; event content and registration set-up on SPP website, respond to guests requests, managing and creating registration lists, managing on-site registration, and management of money, memberships and sales reports

  • Frequent communication with Executive Director pre and post events

 

 

Volunteer Coordination:

  • Coordinate volutneers for educational forums, events, tours, outreach opportunities, administrative duties, and committee needs

  • Develop programs and practices to recruit, train and retain volunteers

  •  Supervises volunteers and provides direction, coordination, and consultation for all volunteer functions

  •  Ensures procedures and culture maximize volunteer involvement

  • Develop, promote, and maintain a wide range of volunteer opportunities within the organization

  • Act as a single point of contact for volunteer communications

  • Manage database of volunteers and track volunteer hours

  • Survey existing volunteers for their interests and skill sets

    Required Qualifications/Skills/Capabilities

  • Self-motivated, efficient and independent worker who has ability to work remotely

  • Great attention to detail with strong organizational and customer
